When will HD Expo + Conference 2021 take place?

May 4-6, 2021, at the Mandalay Bay Convention Center in Las Vegas.

For Attendees:

Can I credit my 2020 registration to HD Expo + Conference 2021?

Absolutely. Just email Tasha.beckford@emeraldx.com and include your 2020 registration confirmation number, along with your request to credit your 2021 HD Expo + Conference registration. Deadline 5/4/2020.

How can I request a refund or credit for my HD Expo + Conference 2020 registration?

1) To credit your registration fee to HD Expo + Conference 2021, May 4-6, 2021 at Mandalay Bay Las Vegas, please contact Tasha.Beckford@EmeraldX.com. The deadline for credit requests is May 4, 2020.

2) To request a full refund, please contact Registration Customer Service on or before May 4, 2020:

  • By phone: 800-465-5514 domestically (toll free) or 1-847-996-5814 internationally, between the hours of 9:00 a.m – 6:00 p.m., EST

Is there a deadline for registration credit and refund requests?

Yes. May 4, 2020, is the deadline to request a full refund, or to credit your registration to HD Expo + Conference 2021 (May 4-6, 2021). Requests received after this date will not be eligible for refund or credit.

How can I cancel my hotel reservations?

If you booked hotel accommodations in the HD Expo + Conference hotel block via our official housing vendor, onPeak, your reservation will be automatically canceled. If you booked a hotel reservation outside the onPeak system and the HD Expo + Conference block, you must cancel/transfer your hotel reservation on your own.

How can I cancel my flight?

Many airlines are offering waived change fees at this time. We strongly recommend cancelling your flight as soon as possible.

For Exhibitors:

I already shipped my booth freight to HD Expo + Conference for the May show. What now?

Freeman will be sending out an email with specific details as to next steps with your freight within the next two days, if not sooner.

Will my 2020 sponsorships roll over to 2021?

Yes, we would love for you to continue your sponsorship in 2021, but they will be discussed on a case-by-case basis. Your account executive will be in touch.

How will the rebooking process for HD Expo + Conference 2021 change?

The cancellation of our 2020 event means we will not be able to carry out onsite sales appointments as planned. Instead, the same priority placement process will be followed via phone appointments scheduled in advance.

 

  • All 2020 exhibiting companies will receive an email from show director Kevin Gaffney with a link to the 2021 priority points book, which lists current point totals and appointment times
  • Exhibitors must ensure an authorized company representative is available to discuss HD Expo + Conference booth placement opportunities via phone during their scheduled date and time, and also be authorized to secure a 10% deposit (up to $3,000) with a credit card or ACH payment at the time of the call
  • Your account executive will discuss 2021 booth location options, as well as how to apply payments made for 2020 to HD Expo + Conference 2021
  • Once a contract is signed, all 2020 payments will be credited towards your 2021 booth
  • If you decide to not exhibit in 2021 after the contract is signed, a 10% deposit (up to $3,000) will be retained, and the remainder refunded
  • If a company does not want to contract for HD Expo + Conference 2021, a full refund of your 2020 payment will be issued
  • Refunds will be issued, however, based on the number of exhibiting companies please be aware this is not a quick process—but it will absolutely happen and we ask for your patience
How can I cancel my hotel reservations?

I paid for staff overallotment badges. Can I receive a refund?

To request a full refund for overallotment badges, please contact Registration Customer Service on or before May 4, 2020:

I booked a scanner through Experient. How do I get a refund?

From Experient: There is nothing more important to Experient than taking good care of our valued exhibitors, especially during times of uncertainty. For those companies who planned to exhibit at an event that has been cancelled, we have amended our standard refund policy. To receive a full refund for your lead retrieval purchase on a cancelled event, please send a refund request to our dedicated email box: answers.leadservices@experient-inc.com. Please include a copy of your receipt/confirmation or invoice number. Allow 7 to 10 business days for processing by Experient. We will honor all refund requests for 90 days after the event’s original move-in date. Please keep in mind that credit card refund posting times vary by merchant and bank.

For Speakers:

Should I cancel my flight?

Speakers who booked flights through Jinny Faye with onPeak will have their reservations canceled automatically.  Speakers who booked flights on their own should cancel their flights as soon as possible, as many airlines are currently waiving change fees. Please contact Laura Caskey if you have any issues changing your flights: Laura.Caskey@EmeraldX.com.

Will you be canceling my hotel reservation?

If you booked a room within your speaker agreement survey gizmo link, your reservation will be automatically canceled.  If you booked a hotel reservation outside the official HD Expo + Conference block through onPeak, or directly with a hotel, you must cancel your hotel reservation on your own.

Will you offer any virtual speaking opportunities?

HD Expo + Conference is considering ways to deliver state-of-the-art education and expert content to our industry year-round.  We will keep you posted regarding future opportunities.
